Job Description:
- Operate multi-line telephone system to answer calls.
- Answer and re-direct all incoming calls and handle inquiries whenever possible
- Greet, assist and/or direct guests, visitors and the general public.
- Record information of all incoming visitors.
- Provide HSE briefings to new employees and external parties.
- Receive, direct and relay telephone messages and fax messages.
- Direct newspapers to the appropriate staff member.
- Pick up and deliver the mail.
- Open mail and date stamp all general correspondence.
- Maintain the general filing system and file all correspondences.
- Assist in the planning and preparation of meetings, conferences and video conference calls.
- Maintain an adequate inventory of office/ kitchen supplies.
- Monitor the use of supplies and equipment.
- Receive, forward and prepare summary of bills.
- Perform other related duties as required
- Prepare daily admin report.
