Required Qualifications: Bachelor’s degree. In lieu of a degree, a combination of four years of directly related full-time experience and/or education may be considered. A minimum of four years of full-time diverse financial aid experience at the college or University level, including experience with computerized financial aid systems preferably with People Soft. Knowledge of current Federal and State Aid regulations. Ability to work and communicate effectively with diverse groups (faculty, staff, administrators, professionals), to provide information, identify problems, and develop solutions. Time management/organizational skills to assess priorities and meet multiple goals and objectives. Ability to work independently.
Preferred Qualifications: Master’s degree. Financial aid experience in a SUNY College or University. Demonstrated computer skills using spreadsheet and word processing programs in particular, Microsoft Word and Excel. Ability to develop reports and proposals. Supervision and training of staff. Experience advising college students. Experience conducting workshops, presentations. Proven commitment to quality customer service. Collaborative team work experience. Experience working with a broad range of agencies and departments.
Brief Description of Duties: The Processing Coordinator for State and Special Programs fulfills both the service as well as the administrative missions of the office. The incumbent is responsible for the administration of the APTS (Aid for Part Time Study) program, New York State Grants and Scholarships and works closely with the Registrar’s Office with the administration of TAP (Tuition Assistance Program). The incumbent is responsible for the financial determination and the awarding component of EOP (Educational Opportunity Program), Study Abroad and National Student Exchange (NSE). In addition, the incumbent will assist the two Assistant Directors and the Senior Advisor for Athletics with system related processes.
The incumbent functions as a general senior financial aid advisor by assisting students and parents with procedural questions regarding the financial aid process. Serves as a representative of the University at various outreach, orientation and information programs. The incumbent is responsible for all aspects of accurate, timely processing of aid applications. The selected candidate:
Coordinates and oversees the administration of NYS Financial Aid Programs. Oversees the administration of out-of-state and district scholarships. This involves the supervision of the State Programs Team consisting of five Financial Aid Advisors and providing direction, guidance and support.
Supervises the financial aid processes for the EOP program, from eligibility certification to financial aid disbursement of EOP student funds; serves as liaison with the EOP and Admissions offices.
Serves as contact person with NYS Higher Education Services in relation to TAP and other NYS Grants and Scholarships and with the administration of NYS specific awards and grants. Coordinates the financial aid office component of the TAP process.
Monitors the waiver application process and communicate the final outcome to the waiver applicants accordingly; serves as a liaison with the Office of Records. Coordinates efforts with the team responsible for the Federal Satisfactory Academic Progress process.
Administers the Aid for Part-Time-Study Program.
Assist the Assistant Director for Systems/Loan Coordinator with processing duties.
Assist with the administration of the current and new Veterans Affairs programs. Collaborates with the Veterans Affairs and Bursar Offices.
Will assist the Senior Financial Aid Advisor for Athletics.
Assist the Assistant Director for Scholarships and Customer Support Services in the administration and processing of scholarships.
Provides direct advice to graduate and undergraduate students and their families about financial aid and scholarship policies, procedures and processes, including applications, eligibility factors, awards and disbursement of funds.
Administer the Study Abroad Program. In conjunction with the Study Abroad Office, coordinates and streamlines the process for students who are studying abroad. Oversees the course of study and consortium agreement processes. Supervises three Financial Aid Advisors who advise the students and provide eligibility criteria. This includes providing direction, guidance and support to the Financial Aid Advisors and spot checking forms for accuracy.
Federal Work Study/Student Employment Coordinator. Works with Human Resources in maintaining and enhancing the PeopleSoft system for departments.
Collaborates with the Career Center in establishing and filling Federal Work Study/Community Service Positions.
Must ensure that federal regulations are adhered to with the Federal Work Study program.
Represents the University at various outreach, orientation and information programs, delivering financial aid/scholarship information sessions to prospective and continuing students and their families.
Special Notes: This is a full time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously. Night and weekend work is required. Occasional travel may be required to training workshops and conferences.
