The general purpose of this job is to provide administrative support in the day-to-day operations of the WPS

Essential Responsibilities

•Operational and general maintenance of factory and Guest House.
•Electro mechanical maintenance and repair of essential equipments falling under WPS at factory and Guest house for smooth operation.
•Handling facilities and staff correspondence with Manpower contractor & 3p employees.
•Managing Internal Office Activations & moves.
•Managing Employee Relocation and their activities.
•Managing Company cell phones & connections at factory.
•Managing Dining services and Pantry operations for management and factory staff.
•Ensuring Company Visitor Clearance.
•Manage Office supplies and stationary Orders.
•Taking In charge of overall Admin & PS purchasing & procurements. (Ariba management).
•Facilities management, invoices handling and payment handling.
•Handling Cash Accounts promptly.
•Review and spot-check the areas of responsibility to ensure that suppliers/service providers are meeting contractual obligations to the client.
•Assist with the detailed floor inspections on a routine basis.
•Monitor the Work Order system & ensure that rectification works are recorded & acted upon on a timely manner.
•Ensure all aspects of the working environment meet all requisite SHE Standards.
•Ensure the smooth running of meetings&/or events at site.
•Assist with Business Unit relocations or ‘ad hoc’ projects.
•Liaise closely with the client on-site representatives to address problems and/or enhance working environment performance.
•Document & communicate all client expectations to the balance of the FM team.
•Ensure general administrative activities are under control and conducted in a timely and efficient manner.

Communication skills: Strong verbal and written communication skills; ability to influence/persuade all levels of staff members.
Organizational skills: Skills in organization to effectively manage multiple important priorities.
Efficient Problem solving: Proven skills to quickly evaluate complex issues and identify multiple options for resolution.
IT skills: Computer skills including the spreadsheet and word processing programs, and e-mail at a highly proficient level.
Influencing without authority: Ability to establish and maintain healthy working relations with people who come in the course of work in order to achieve proficiency.
Analytical skills: Ability to analyze the diverse business scenarios while focusing on high detail of accuracy.
Basic Negotiation skills: Ability to maintain healthy relations with all the stakeholders while depicting excellent convincing power.
