JM Facilities Estate RYK: The general purpose of this job is to provide administrative support in the day-to-day operations of the WPS

Essential Responsibilities

•Operational and general maintenance of Unilever Estate and Guest House.
•Electro mechanical maintenance and repair of essential equipments falling under WPS at Estate and Guest house for smooth operation.
•Handling facilities and staff correspondence with Manpower contractor & 3p employees.
•Responsible of Billing, Costing and Data keeping of Estate Food Store.
•Billing through ARIBA SYSTEM.
•Maintaining the arrival departure of all Guests record
•Responsible to create a safe working environment, manage risks, identify hazards & arrange to rectify and ensure implementation of company SHE policy.
•To assigned the overall control on Inventory of Estate Electric, Carpentering, Plumbing STORES and Guest Houses.
•Up to Date record keeping & maintain file management system of Estate House’s Allotment Letters.
•Managing Estate Guest Houses & responsible for R & M of management houses & UMC.
•All type of complaints receiving from Estate B, C Type Houses and rectification of issue / grievances
•Manage & effective utilization for all the capex items for the year.
•To check and supervise the Contractors to ensure smooth working of all maintenance area in Estate.
•Supervision of all the functions related to the Staff & management
•Supervision of Road & Yards to improve Estate ambiance
•Managing Internal Office Activations & moves.
•Managing Employee Relocation and their activities.
•Ensuring Estate Visitor Clearance.
•Manage Office supplies and stationary Orders.
•Taking In charge of overall Admin & PS purchasing & procurements. (Ariba management).
•Facilities management, invoices handling and payment handling.
•Handling Cash Accounts promptly.
•Review and spot-check the areas of responsibility to ensure that suppliers/service providers are meeting contractual obligations to the client.
•Assist with the detailed inspections on a routine basis.
•Monitor the Work Order system & ensure that rectification works are recorded & acted upon on a timely manner.
•Ensure all aspects of the working environment meet all requisite SHE Standards.
•Assist with Business Unit relocations or ‘ad hoc’ projects.
•Liaise closely with the client on-site representatives to address problems and/or enhance working environment performance.
•Document & communicate all client expectations to the balance of the FM team.
•Ensure general administrative activities are under control and conducted in a timely and efficient manner.
