Reports to: Manager Administration & Fleet
Major Accountabilities

“Provide effective and dynamic work environment in order to ensure smooth operations of business;

– Facilities management including furniture and equipment for current employees and new hiring,
– Front desk / reception – attending the guests, receiving phone calls and issue stationery to employees.
– Stationery – Arrange to maintain inventory, consumption and reordering level.
– Pantry items
– Arrange to maintain inventory, consumption and reordering level.
– Telephone & mobile phones
– Arrange to manage of around 250 users. Arrange to provide new SIMs with coordination with HR & respective line manager.
– Courier – Ensure timely pickup and delivery of the mail through service provider.
– Provide event management support for business conventions and social activities.
– Accommodation
– Ensure cost effective arrangements for the local and foreign guest at the company maintained guest houses and the hotels.
– Housekeeping Services
– Ensure the highest level of housekeeping standards at each location, including cleaning and maintenance of office facilities”
– Ensure timely release of related Opex, Capex, PR and approve nationwide payments related to Admin cost center.
– Weekly review of outstanding PR, PO, GR and invoices related to Admin cost center.
– Follow up with HODs for the approval of PO and agreements
– Preparation of OB for general services, perform monthly review the OB/RF and Capex.
– Ensure timely release of related Opex, Capex, PR and approve nationwide payments related to Admin cost center.
– Weekly review of outstanding PR, PO, GR and invoices related to Admin cost center.
– Follow up with HODs for the approval of PO and agreements
– Preparation of OB for general services, perform monthly review the OB/RF and Capex.

Design and lead strategies & action plans related to administrative operations in the most cost effective manner.

Submit occupation plans, keep track of staff moves, departmental sitting restructuring and organize adequate accommodation to meet future sitting projections.

Manage and lead project management regarding major/minor structural upgrades, expansions or sourcing of facilities and services in an efficient and effective manner. Involve architecture/interior designer for planning, designing & costing of company offices and guest houses.

Employee health & safety (EHS)

– Liaison with the EHS manager for quarterly audit of EHS equipment.
– Communicate target date for identified issue to EHS and management.
– Develop & execute strategy for fixing the issues.
– Coordinate with stakeholders for all administrative and EHS related matters.

Contract Management
– Provide scope and KPIs for the service.
– Coordinate with supply chain for selection of service providers in order to provide best quality and cost effective support services
– Regular review and provide feedback to supply chain and service provider for effective service.
– Renewal, negotiation and management of all contracts/agreements.”

  • Transport & parking facility – Ensure timely pick & drop services are provided to employees at each location. – Provide pool car for employees, local & foreign guest for business trips. – Provide airport pick & drop to employees and company guests. – Ensure timely maintenance of all vehicles. – Coordinate with third party parking contractor to ensure security and safety of all company vehicles.
  • HVAC services and Dunham bush unit. (Head office) – Ensure regular maintenance of all equipment at the weekend – Regular review of the chilled water, condense water, Air flow and temperature reading of all floors – Coordinate with building management form HVAC related issues and ensure regular monitoring of AHU units.
  • Travel Desk (Head office) – Ensure travel agents approved by IATA, with sufficient staff to arrange complex travel itineraries within the Asia-Pacific region and worldwide – Ensure the travel desk provides the appropriate information to requester regarding international travel like Health Requirements, Local Conditions any other related information.

– Ensure timely booking, cancellation and confirmation send to requester on approved requests.
– Ensure appropriate protocol provide to all expats and foreign guests of PMI
– Ensure Compliance with Forms, Rules, and Regulations & Procedures.

Minimum Requirements

Education: Minimum requirement of a Bachelors from a reputable institute
Experience: Minimum Experience of at least 4-7 years in a relevant administration capacity

Skills

Strong communication skills verbal and written
Proficiency in MS Office applications (Excel, Power point, Word)
Proficient in the use of SAP/ ERP systems Apply
