Admin Assistant – UNICEF – Islamabad

Completion of secondary education. Higher education preferred.
4 Years(Four years job experience.)
Makes Travel arrangements, prepares travel orders and maintains travel register/files. Arrange Security clearances from UNDSS.
Drafts ProMS Travel Authorizations (TA) for Cross Sectoral staff and make logistic arrangements.
Raise payment requests to process travel advances, claims and invoices submitted by travel agents.
Arrange guest house bookings for regular and emergency staff for staying in Islamabad and in the field offices in coordination with concerned administrative assistants. Coordinates with Programme Section for the arrangement of meetings, training, workshop and hotel/guest house bookings. Liaise with hotels, guest houses to get the cost effective rates for UNICEF staff/events.
Prepare and update travel list for regular and emergency staff on daily basis.
Check airline invoices and drafts payment requests for settlement.
Maintains files/records related to the functions and provides required information for reports, correspondence, technical papers and other reference documents.
Drafts routine correspondence, faxes from oral instructions, previous correspondence and other available information. Raises PRQs for payments.
